Documents Needed for Equipment Financing

A complete checklist of what lenders typically require for commercial equipment loans and leases.

Document requirements vary significantly based on transaction size, applicant credit profile, equipment type, and lender policy. This guide provides a general framework — always confirm exact requirements directly with your lender before submitting an application.

Application-Only (Small Ticket, Typically Under $150K)

  • Completed equipment finance application (business name, address, EIN, owner info)
  • Government-issued photo ID for all owners with 20%+ equity
  • Equipment invoice or purchase agreement (from vendor or dealer)
  • Social Security Number for personal credit check authorization

Many lenders offer application-only programs for smaller transactions where no financial statements are required, subject to credit approval and equipment type.

Larger Transactions (Typically $150K+)

  • All application-only documents listed above
  • 3–6 months of business bank statements
  • 2 years of business tax returns (may be required for larger deals)
  • 2 years of personal tax returns for guarantors
  • Current year-to-date profit & loss statement
  • Current balance sheet
  • Equipment invoice with year, make, model, serial number, and price

Requirements vary by lender, deal size, credit profile, and equipment type. Some lenders have higher thresholds before requiring full financial packages.

Specialty or Complex Transactions

  • All of the above
  • Certificate of formation or Articles of Incorporation
  • Operating agreement or corporate bylaws
  • Accounts receivable and payable aging reports (if required by lender)
  • Personal financial statement for guarantors (if required)
  • Equipment appraisal or inspection report for older or used equipment

Complex deals, older used equipment, or unusual equipment types may require additional documentation. Work with your lender to clarify exactly what is needed before starting.

Pro Tip: Prepare Your Documents in Advance

Having your documentation ready before you start the application process can significantly speed up approval and funding timelines. Lenders who offer same-day decisions typically do so for well-prepared applicants with complete submissions.
